Job Overview

We are seeking an experienced Intake Coordinator to join our team. In this role, you will be the primary point of contact for patients and play a critical part in their healthcare journey.

Responsibilities:

  • You will answer and manage intake phone calls from patients, acting as a remote receptionist and providing a friendly, professional experience.
  • You will gather and record detailed patient information, including personal details, location, and a summary of symptoms or chief complaints.
  • You will quickly assess the urgency of each case and schedule same-day or urgent appointments accordingly.
  • You will determine and assign the appropriate doctor for each case based on the patient's symptoms, location, and timing.
  • You will communicate with patients and doctors to confirm appointment details and send informative follow-ups.
  • After each appointment, you will reach out to patients to confirm their issue was addressed and they are satisfied with the service.
  • You will proactively manage and resolve logistical issues that may occur during the intake or appointment process.
  • You will collaborate closely with other intake coordinators during shift overlaps to ensure a smooth handoff of any in-progress cases.

Requirements:

  • 1+ years of experience in a customer service, patient intake, or call center role.
  • Excellent Communication Skills: Fluent English proficiency, with a clear speaking voice and strong written communication.
  • Customer-Centric Approach: A genuine passion for helping people and providing outstanding service.
  • Organizational Skills: Exceptional multitasking and organizational abilities.
  • Tech Savvy: Comfortable using technology to facilitate workflow.
  • Problem-Solving: Critical thinking and quick decision-making skills to effectively match doctors with patients and resolve any scheduling or logistical conflicts.
  • Attention to Detail: Meticulous in recording patient information, scheduling details, and follow-up notes correctly.
  • Team Collaboration: Ability to work as part of a remote team, communicating with colleagues and doctors across time zones.
  • Adaptability: Comfortable working in a fast-paced, 24/7 operational environment.
