Senior Events & Offsite Coordinator Job Summary

Thumbtack's Senior Events and Offsite Coordinator will play a key role in the planning and execution of employee gatherings. This individual will partner with the Sr. Events Manager to create memorable experiences for Thumbtack's distributed workforce.

  • Coordinate logistics and work streams across various events, ensuring seamless execution.
  • Manage venue sourcing, vendor coordination, and on-site support for employee gatherings.
  • Develop clear planning artifacts and keep stakeholders informed about milestones and responsibilities.
  • Build relationships with key vendors and negotiate contracts within established guardrails.
Requirements
  • Relevant experience: 3–5 years in events coordination, operations, or hospitality (corporate or agency experience is a plus).
  • Impeccable organization and attention to detail, with the ability to juggle multiple timelines and priorities.
  • A bias for action and getting things done, as well as an ability to stay calm under pressure.
  • Strong written and verbal communication skills.
  • Knowledge of event, vendor, and budget basics, including quotes, contract routing, POs/invoices, and cost tracking.
  • Proficiency with collaboration, PM, and event tools (Google Workspace, Swoogo, Navan, Coupa, Ironclad).
  • A growth mindset, with a willingness to learn and contribute to playbooks, templates, and continuous improvement.
