The HR Shared Service Coordinator plays a pivotal role in the Human Resources Service Center (HRSC) team, focusing on supporting the HR Shared Service team with administrative tasks. This individual partners with Recruiters to complete offer letters and various onboarding requirements, as well as providing candidate support on an as-needed basis.

Key Responsibilities

  • Create and route external and internal offer letters according to policy while ensuring compliance with state-specific legal requirements.
  • Submit background checks, I-9, and E-Verify requests for all external hires and internals as necessary.
  • Review background check results and escalate them as needed to manager and legal for review/recommendations.
  • Maintain accurate candidate tracking records for all new hires and internal moves to ensure task completion and compliance.
  • Support the HRSC email inbox by responding to Recruiter, Candidate, and Hiring Manager inquiries in a timely manner.
  • Provide assistance with requisition creation & validation on an as-needed basis.
  • Support ad-hoc reporting & data analysis on an as-needed basis.
  • Support other special projects as required.

Required Skills and Qualifications

  • A minimum of 2-4 years of relevant experience in roles such as Administrative Assistant, HR Shared Service or Human Resources Coordinator, Project Coordinator, or Customer Service Representative/Coordinator.
  • Intermediate level knowledge/proficiency of key Microsoft Suite products including Word, PowerPoint, and Excel.
  • Strong organizational skills with the ability to effectively manage multiple tasks and priorities.
  • Excellent written, verbal communication, and interpersonal skills, with a customer service-oriented approach.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Proactive and resourceful with a can-do attitude and a willingness to take initiative.
  • Attention to detail and a commitment to delivering high-quality work in a fast-paced environment.
