WSP, a world leading management and consultancy firm, currently have an exciting opportunity for a Full-Time HR Coordinator to join their HR Shared Services team. The HR Coordinator will contribute to the administration of human resources programs and processes. The successful candidate will coordinate with other HR team members to resolve employee issues in assigned area. Responsible for providing administrative support for specific HR operations, monitor and audit daily HR HUB transactions, help resolve discrepancies and issues in a timely manner according to established policies and procedures, and ensures work product and databases are accurate and compliant with organizational and regulatory requirements. New graduates with a relevant degree (in lieu of experience) and an interest in a career in HR will be considered for this position.
What you will do:
- Prepare, review, audit, and/or process HR-related information, following prescribed internal process and program requirements.
- Organize and scan HR files to an online database.
- Maintain and update various spreadsheets, files, audits, and databases.
- Process various invoices in a timely manner while working closely with partner groups.
- Complete Unemployment claims received for various states.
- Process tuition reimbursement and referral bonus requests.
- Action Verification of Employment requests – both written and verbal.
- Audit and perform daily quality check on assigned work buckets prior to their disposition, submission, and/or data entry.
- Complete other duties as assigned.
- Exercise responsible and ethical decision-making regarding company funds, resources, and conduct, and adhere to WSP's Code of Conduct and related policies and procedures.
- Draft offers of employment using Onboard Express ensuring a high level of attention to detail is applied.
- Set up of new employees and terminate employees in the Company Finance System and Company Payroll & HR system. Ensure all necessary approvals are also obtained and notifications sent to stakeholders.
- Ensure all requests are logged, triaged, and managed via ServiceNow in a timely manner.
- Promote and provide support to employees and managers in using HR ServiceNow Portal and HR Kiosk.
- Assist with the updating and creation of Knowledge Bases.
- Work alongside other People and Talent Administrators and People Coordinators to ensure high-quality responses to HR queries and requests and cases are spread amongst the team for processing.
- Escalate issues to Senior team members where necessary.
- Manage HR records for all employees in a current and accurate form in the systems.
- Update all employee changes in data systems upon receiving appropriate authorisation/documentation and ensuring updates occur on time and accurately.
What we will love about you:
- Bachelor's Degree in Human Resources, Psychology, Business Administration or related field in lieu of experience.
- 4+ years of experience in clerical and administrative support, with a strong preference for experience in HR operations support.
- Knowledge of HR concepts and practices a plus.
- Understands the value of providing outstanding internal customer service.
- Strong attention to detail required.
- Effective verbal and written communication skills.
- Proficiency with handling documentation, internal processes, and effectively maintaining electronic records and databases.
- Ability to build and maintain good working relationships between HR team members and managers.
- Proficient in MS Word, Excel, Teams, Outlook.
- Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP's Code of Conduct and related policies and procedures.
- Proven track record of upholding workplace safety and ability to abide by WSP's health, safety and drug/alcohol and harassment policies.
