As an Executive Support Specialist, you will be responsible for providing high-level administrative support to multiple executives at a fast-paced organization. This role requires exceptional organizational skills, attention to detail, and the ability to maintain confidentiality.
Key Responsibilities:- Schedule and confirm internal/external meetings, interviews, and recurring syncs
- Prepare agendas and take notes as needed
- Monitor and organize email inboxes for 4–6 executives
- Flag high-priority emails and draft responses when needed
- Track follow-ups and maintain inbox clarity
- Coordinate domestic and international travel (flights, hotels, ground transport)
- Prepare detailed itineraries for executives
- Arrange lunch meetings, team events, and other logistical needs
- Assist in light project management and task tracking
- Manage document filing systems via Google Drive or Notion
- Coordinate with internal teams via Slack and email
- Follow up with vendors, clients, or team members as needed
- Minimum 2 years of executive-level support experience
- Experience supporting multiple executives or founders simultaneously
- Strong organizational skills and high attention to detail
- Proficient in Gmail, Google Calendar, Google Docs, and Slack
- Comfortable working independently and maintaining confidentiality
- Excellent written and verbal communication skills
- Familiarity with Notion, Zoom, or basic project management tools
- Experience in a tech startup or SaaS environment is a plus
- 40 hours per week
- Monday to Friday
- 9AM - 6PM Pacific Standard Time Zone
- $5 USD/hour - $6 USD/hour
