As a Remote Intake Specialist, you play a vital role in our 24/7 operations, ensuring seamless communication between patients and doctors.
">Job DescriptionOur ideal candidate will possess excellent interpersonal skills, empathy, and the ability to multitask effectively. Key responsibilities include:
- Frontline Patient Communication: Answer intake phone calls with a friendly, professional demeanor, acting as a remote receptionist. Provide clear guidance on next steps, collect initial information efficiently, and maintain confidentiality when handling sensitive health data.
- Patient Information Gathering: Accurately record detailed client information, including personal details and a summary of symptoms or chief complaints. Listen attentively to patient concerns and ask clarifying questions to ensure accurate information for the medical team.
- Appointment Scheduling: Assess patient needs promptly and schedule same-day or urgent appointments accordingly. Coordinate appointment times by matching patient availability with on-call doctor schedules, utilizing scheduling systems with high accuracy.
- Doctor Coordination: Determine the most suitable doctor for each case based on symptoms, location, and timing. Utilize internal rosters and location mapping to identify the closest available or relevant specialist for home visits or remote consultations. Communicate effectively with doctors to confirm their availability and provide necessary patient details.
- Communication & Follow-Up: Send confirmation details and informative follow-ups to patients and doctors via email, telehealth sessions, and prepaid payments. Ensure patients understand what to expect and that doctors have all necessary information.
- Post-Appointment Follow-Up: After each appointment, reach out to patients to confirm issue resolution and gather feedback. Similarly, follow up with doctors to verify successful visits and document outcomes.
- Issue Resolution & Troubleshooting: Proactively manage and resolve logistical issues during the intake or appointment process. This may involve handling scheduling conflicts, resolving missed connections, or troubleshooting technical difficulties like telehealth link problems or payment processing issues.
- Shift Handover: Collaborate closely with other intake specialists during shift overlaps to ensure smooth handoffs of in-progress cases. Provide clear updates on pending appointments, patient situations, or issues to watch, allowing the next team member to be fully briefed.
- Administrative Tasks: Maintain organized records of interactions, update patient profiles, and flag incidents for management review while adhering to standards for data accuracy, confidentiality (HIPAA compliance), and customer service.
