Property Operations Coordinator

Manage day-to-day operations, ensure smooth property management, and provide comprehensive support to on-site teams.

  • Maintenance Management: Lead the maintenance process from start to finish, ensuring timely completion.
  • Tenant Relations & Concern Resolution: Proactively resolve tenant concerns and inquiries.
  • Proactive PM Support & On-Site Coordination: Provide remote support to on-site Property Managers, coordinating activities and providing instructions.
  • Data Organization & Record Keeping: Maintain accurate records within AppFolio, ensuring meticulous organization.
Key Responsibilities:
  • Coordinate on-site activities with Property Managers, provide detailed instructions and checklists.
  • Create, assign, and track work orders through completion.
  • Coordinate vendor scheduling for non-urgent repairs with tenants and contractors.
  • Follow up with tenants and vendors to ensure satisfaction and quality of work.
  • Manage vendor invoices and ensure payment approval.
  • Primary remote communicator for move-in/move-out processes (letters, scheduling, checklist, utility transfers).
  • Maintain accurate records in AppFolio.
  • Ensure timely rent collection processing and assist with late notices and collection efforts.
