We are seeking a skilled Virtual Executive Assistant to join our team. As a key support function, you will provide comprehensive administrative services to senior executives in Australia and New Zealand.
You will be responsible for managing diaries and schedules with internal and external stakeholders, handling email communications, arranging travel logistics, and tracking expenses. Additionally, you will assist with event coordination, timesheet management, and client relationship building.
Key Responsibilities:- Calendar Management - Coordinate diaries and schedules with stakeholders on behalf of the executive
- Email Management - Screen, respond to, and/or action emails as necessary
- Travel Arrangements - Book flights, hotels, and other logistical requirements
- Expense Tracking - Monitor and submit expenses for reimbursement or payment
- Event Coordination - Assist with setting up logistics and coordinating invites and RSVPs
- Timesheet Management - Track and submit worked hours of the executive
- Client Relationship Building - Develop relationships with clients and their EAs, update client lists, and report on clients and markets
- Bachelor's Degree - Any field
- Administrative Experience - Minimum 2 years' experience in Executive Assistance/Secretary/Admin Support (preferred)
- Customer Service - Experience working with multiple stakeholders
- Technical Skills - Proficient in MS Office (Outlook, Excel, Word, PowerPoint)
- Communication - Strong English communication skills, both written and spoken
- Multitasking - Ability to handle multiple executives, priorities, and deadlines
