Job Description:

The Payroll Specialist is a key position responsible for managing the end-to-end payroll process for approximately 600 multi-state union and non-union employees. This role ensures timely, accurate payroll processing in accordance with collective bargaining agreements, internal policies, and all applicable federal, state, and local laws.

The specialist supports HR, Finance, and external vendors, playing a crucial role in audits, compliance, tax reporting, and system improvements. They are also the first point of contact for payroll inquiries and provide exceptional customer service, contributing to a positive employee experience.

This position requires a strong understanding of payroll laws, accounting principles, and tax regulations. Experience with union payroll, job costing, and prevailing wage compliance is preferred.

The ideal candidate will possess excellent analytical and problem-solving abilities, with a focus on attention to detail and organizational skills. They must be able to manage sensitive, time-critical information with discretion and possess excellent communication and interpersonal skills.

Responsibilities:
  • Accurately process bi-weekly payroll for multi-state employees and weekly off-cycle payrolls.
  • Process and audit timecards, rate changes, retroactive adjustments, bonuses, and final pay calculations.
  • Ensure approvals of time and pay exceptions by managers before processing.
  • Process and verify deductions, including benefits, union dues, garnishments, auto allowance, and Direct Bill payments.
  • Manage W-2s, year-end filings, and state tax withholdings setup.
  • Submit and audit files for DailyPay, Purchasing Power, and other payroll-related programs.
  • Maintain up-to-date knowledge of federal and state payroll and leave laws, labor regulations per FLSA, and prevailing wage requirements.
  • Audit payroll and timekeeping data regularly for compliance and accuracy.
Requirements:
  • Bachelor's degree in Business, Accounting, or a related field.
  • Minimum of 5 years of hands-on payroll processing experience in a multi-jurisdiction environment.
  • Strong understanding of payroll laws, accounting principles, and tax regulations.
  • Experience with union payroll, job costing, and prevailing wage compliance preferred.
