Job Summary

This role is essential for ensuring seamless day-to-day operations, effective tenant communication, and comprehensive support to our on-site Property Manager.

Main Responsibilities:
  • Maintenance Coordination: Oversee the maintenance process from start to finish, including work order triage, vendor/technician coordination, tracking, and timely completion.
  • Tenant Relations & Concern Resolution: Proactively resolve tenant concerns and inquiries, serving as a primary remote point of contact for residents.
  • Support Services & On-Site Liaison: Provide comprehensive remote support to the on-site Property Manager. This involves coordinating all necessary on-site activities, providing detailed instructions, checklists, and scheduling.
  • Data Management & Record Keeping: Maintain accurate maintenance records and property data within AppFolio, ensuring meticulous organization.
  • Rent Collection Support: Assist with timely rent collection processing, including sending late notices and supporting collection efforts.
Detailed Roles And Functions:
  • Coordinates all necessary on-site activities with the Property Manager, providing detailed instructions, checklists, and scheduling.
  • Creates, assigns, and tracks work orders through completion.
  • Coordinates vendor scheduling for non-urgent repairs with tenants and contractors.
  • Follows up with tenants and vendors to ensure satisfaction and quality of work.
  • Manages vendor invoices and ensures payment approval.
  • Is the primary remote communicator for move-in/move-out processes (letters, scheduling, checklist, utility transfers).
  • Maintains accurate maintenance records and property data in AppFolio.
  • Ensures timely rent collection processing and assists with late notices and collection efforts.
  • Proactively works to resolve tenant concerns and inquiries.

  • Proficiency in software applications, including AppFolio.
