Administrative Assistant Role Overview

This administrative assistant position is designed to support daily operations within a property management company overseeing multiple buildings with residential units. Key responsibilities include resident communication, vendor coordination, and inspection scheduling.

  • Establish professional relationships with residents for payment collection and fee follow-ups.
  • Develop and implement efficient email notice systems for residents regarding payments and updates.
  • Maintain organized spreadsheets tracking payment status and collection activity across properties.
  • Schedule inspections with certified service companies.
  • Monitor vendor proposals and ensure certifications are up-to-date.
  • Coordinate multiple ongoing projects across 11 properties, ensuring timely completion of tasks.
  • Provide personal administrative support to the property manager as needed.
  • Compile reports on completed tasks and ongoing projects for regular check-ins.
  • Maintain accurate records of all communications and activities.
Requirements
  • Minimum 2–3 years of administrative experience, preferably in real estate or customer service.
  • Excellent phone and written communication skills.
  • Proficiency in spreadsheet software and email management tools.
  • Ability to manage multiple projects with strong organizational skills and attention to detail.
  • Experience coordinating with vendors and managing schedules.
  • Familiarity with VoIP tools like Zoom Phone or RingCentral.
  • Capacity for independent work with strong time management and organization skills.
  • Professional and reliable communication with residents, vendors, and team members.
