Insurance Operations Assistant Role Summary

This is a detail-oriented position that supports insurance professionals with daily administrative tasks, ensuring the smooth operation of client accounts.

The Insurance Operations Assistant will provide dedicated support to one Risk Advisor, assisting with document preparation, data entry, and coordination tasks.

This role is ideal for candidates with experience in supporting brokerage account managers and a strong attention to detail.

Key Responsibilities:
  • Provide professional and administrative support to one Risk Advisor (Account Manager).
  • Assist in preparing insurance quotations, proposals, and renewal documents.
  • Accurately process and input data into web-based insurance systems and CRMs.
  • Maintain and update client records and policy information in the CRM system.
  • Prepare and issue certificates of insurance as requested.
  • Gather and organize client data to prepare insurance policy applications and other supporting documentation.
  • Manage billing processes with clients and insurance carriers.
  • Organize and track outstanding documentation, including policy subjectivities and compliance requirements.
  • Draft and send professional communications to clients, insurers, and other stakeholders on behalf of the Risk Advisor.
Requirements:
  • Previous insurance industry experience, preferably in an agency or brokerage setting.
  • Familiarity with insurance terminology and processes.
  • Experience with insurance management systems or CRMs.
  • Ability to follow detailed instructions and prioritize tasks effectively.
  • Strong work ethic and reliability, with a commitment to accuracy and quality.
  • Excellent communication and organizational skills, with a proactive approach to problem-solving.
