The primary objective of the Senior Billing Specialist role is to oversee the comprehensive billing operations, encompassing subscription lifecycles, dispute resolution, reconciliations, and financial reporting.

Key Responsibilities:

  • Subscription Lifecycle Management: Manage subscription lifecycle phases in Stripe, including setup, plan changes, proration, cancellations, reconciliations, and revenue tracking.
  • Dispute Resolution: Take ownership of dispute representment: prepare and submit evidence packets to banks/card networks to protect company revenue.
  • Billing Workflows: Execute and maintain billing workflows in HubSpot, including automation of tickets and cross-team communication.
  • Month-End Close Support: Assist in month-end close processes: AR aging reports, reconciliations, and cash collection forecasting.
  • Delinquency Investigation: Investigate delinquencies: analyze root cause, adjust accounts, and handle outbound collections calls/emails when needed.
  • Interdepartmental Collaboration: Partner with Sales & Customer Success to ensure accurate subscription data.
  • Process Improvement: Identify and implement process improvements to make AR more efficient and scalable.

This is a hands-on AR execution role that requires strong knowledge of Stripe Subscriptions, HubSpot, and collections outreach. The ideal candidate will have 3+ years of experience in billing and accounts receivable, with a proven track record of building or optimizing dunning workflows.

Requirements:

  • Experience: 3+ years of hands-on billing and accounts receivable experience in a SaaS or subscription business.
  • Stripe Expertise: Proven expertise with Stripe Subscriptions (not just invoice/payment processing).
  • Dispute Representment: Direct experience preparing and submitting dispute representment evidence to banks/payment processors.
  • HubSpot Knowledge: Strong knowledge of HubSpot for AR/billing workflows.
  • Collections Outreach: Familiarity with collections outreach (calls + email), but with a bias toward solving the process and data issues behind delinquency.
  • Advanced Skills: Advanced Excel/Google Sheets skills for reconciliations, AR aging, and reporting.
  • Personal Qualities: Detail-oriented, proactive, and comfortable owning critical AR processes in a fast-paced, high-growth environment.
