
Executive Administrator

- Extensive Travel Management: Coordinate and book complex domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries, ensuring efficiency and cost-effectiveness.
- Email and Calendar Management: Proactively manage and prioritize a demanding executive calendar, scheduling meetings, appointments, and calls. Efficiently manage email correspondence, drafting responses, flagging urgent matters, and organizing the inbox.
- Procurement and Research: Conduct thorough research for various personal and professional purchases, identifying optimal solutions, negotiating with vendors, and managing the procurement process from inquiry to delivery.
- Comprehensive Administrative Support: Handle a wide range of administrative tasks, including preparing presentations, organizing documents, managing expenses, maintaining organized filing systems (digital and physical), and handling confidential information with utmost discretion.
- Investment Support (Preferred): Assist with light research related to investment opportunities, prepare summary documents, organize investor materials, and maintain confidentiality regarding sensitive financial information.
- At least 5 years of experience as an Executive Assistant supporting senior executives, preferably within a fast-paced environment.
- Prior experience in Private Equity, Venture Capital, Investment Banking, or a similar financial services environment is highly preferred.
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant productivity tools.
- Excellent written and verbal communication skills, with a keen eye for detail.
- High level of discretion, professionalism, and integrity when handling confidential information.
- Proactive, resourceful, and able to anticipate needs and act independently.
- Ability to work flexible hours when required to accommodate executive travel and urgent matters.
