About the Job

We are seeking an Executive Assistant to join our team, providing exceptional support to our leadership and driving internal workflows with precision.

Key Responsibilities:

  • Data Management: Ensure accurate data input and management for payroll, templates, systems, and documentation.
  • Scheduling and Meetings: Coordinate scheduling and set up meetings across departments and time zones.
  • Purchases and Supplies: Make purchases on behalf of the company in accordance with established procedures.
  • Talent Acquisition: Assist with sourcing resumes and applicant tracking processes.
  • Record Keeping: Maintain up-to-date and organized lists and records related to HR and operations.
  • Employee Support: Provide a point of contact for employee inquiries and route concerns to relevant channels.
  • Presentation Assistance: Support senior leadership in creating and formatting presentations.
  • Communication: Communicate clearly and professionally in written and verbal English.
  • Problem Solving: Anticipate upcoming needs and take a proactive approach to problem-solving.
  • Confidentiality: Handle sensitive information with care and discretion.

Requirements:

  • Experience: Proven experience in HR administration and/or executive support, preferably in a fast-paced or startup environment.
  • Attention to Detail: Impeccable attention to detail and organizational skills.
  • Data Entry Skills: Strong data entry skills and comfort working with systems, spreadsheets, and internal tools.
  • Technical Skills: Proficiency in scheduling tools, G Suite, and communication platforms like Slack or Zoom.
  • Language Skills: Excellent written and spoken English.
  • Critical Thinking: Demonstrated ability to think critically, anticipate challenges, and act with integrity.
  • Availability: Must be available to work core PST hours (9am–6pm) and flexible to meet additional demands.
