Bid Estimator Coordinator Job Overview

We are seeking a highly organized and proactive professional to support our HVAC and Plumbing estimating teams in their daily activities.

Job Responsibilities:
  • Bid Package Management: Coordinate and track bid proposals from initiation to submission, ensuring timely completion and accuracy of all estimate packages.
  • Ensure all estimate packages include vendor quotes, subcontractor bids, takeoffs, specifications, and scope clarifications.
  • Organize files for executive review and maintain consistent folder structures for easy access.
  • Solicit and track supplier and subcontractor pricing to ensure competitive quotes.
  • Maintain and update a database with key partners for future reference.
  • Document and save all quotes properly for historical purposes.
  • Collaborate with estimators on bid deadlines and scheduling to ensure seamless project execution.
  • Assist with Pinnacle software tracking and document management to streamline workflows.
  • Generate summary reports and maintain a bid calendar to stay organized.
Required Skills & Qualifications:
  • Prior experience in construction, engineering, or MEP industries is a plus.
  • Familiarity with estimating tools (Pinnacle, PlanSwift, Bluebeam) is a plus.
  • Experience supporting estimating, project management, or construction administration is essential.

This is a full-time position that requires strong organizational skills, attention to detail, and effective communication.
