HVAC Operations Coordinator Job Summary

We are seeking a highly organized and detail-oriented HVAC operations coordinator to join our team.

Key Responsibilities:
  • Job Coordination & Documentation:
    • Coordinate work orders, change orders, submittals, RFIs, and RFPs to ensure seamless project execution
  • Customer & Vendor Communication:
    • Establish effective communication channels with clients, vendors, and contractors via email, phone, and WhatsApp
  • Project & Office Management:
    • Support bid/proposal preparation, track equipment rentals, material purchases, and change orders to optimize project outcomes
    • Maintain regular communication with on-site project managers to ensure alignment
  • Compliance & Safety:
    • Contribute to the development of site-specific safety plans and ensure compliance with regulatory requirements
  • Marketing & Social Media:
    • Assist in managing online presence, customer engagement, and brand awareness to drive business growth
  • HVAC Plans & Vendor Pricing:
    • Analyze HVAC plans and specifications to request pricing from vendors, and track vendor estimates and submittals using Monday.com
  • PlanSwift & Estimating Support:
    • Utilize PlanSwift to review takeoffs, measure materials, and assist in preparing estimates to deliver accurate quotes
