Job Opportunity

We are seeking a highly skilled and organized individual to fill the role of Scheduling Coordinator.

The ideal candidate will have experience in administrative coordination, preferably in healthcare or ABA-related environments. They will be responsible for ensuring the smooth and effective management of client and Behavior Technician/RBT schedules.

The Scheduling Coordinator will work closely with ABA Program Supervisors to optimize provider hours and ensure full utilization of client authorizations. They will also be responsible for maintaining efficient scheduling practices, updating client/staff records across systems, and facilitating cross-departmental communication.

The successful candidate will possess strong organizational skills, attention to detail, and excellent communication abilities.

Key Responsibilities

  • Coordinate directly with ABA Program Supervisors to schedule direct ABA sessions.

  • Review schedules to identify inefficiencies and optimize provider hours.

  • Collaborate with Scheduling Coordinators to align client and provider schedules.

  • Manage updates in Central Reach and maintain CSLOT's master scheduling spreadsheet.

  • Support clinical staff in rescheduling cancellations while meeting productivity targets.

  • Develop and improve scheduling tools to increase efficiency.

  • Assist with creating schedules for new hires and new clients.

  • Maintain organized and updated records of client and staff information.

  • Prepare and manage administrative documentation and spreadsheets.

  • Perform other administrative and scheduling duties as directed by leadership.

Requirements

  • 2–3 years of experience in administrative coordination, preferably in healthcare or ABA-related environments.

  • Direct experience scheduling appointments for a multi-practitioner clinic is required.

  • Proficiency in Microsoft Excel and Google Workspace.

  • Experience with ABA practice management software preferred.

  • Strong organizational and multitasking skills with keen attention to detail.

  • Excellent English communication skills, both written and verbal.

  • Ability to work independently while thriving in a multidisciplinary, collaborative team environment.
