Administrative Assistant for Facilities Support

Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant for Facilities Support to join our team at Sourcefit DR. As a key member of our facilities department, you will be responsible for providing administrative support to ensure the smooth operation of our facilities.
Responsibilities:
- Assist in coordinating with PEZA and Local Government Unit on statutory requirements
- Work closely with the Senior Facilities and Administration Manager to ensure security services align with company standards
- Respond to requests and complaints from end-users and follow up with the Building Management Office
- Implement House Rules and Regulations and other company policies
- Coordinate technical requests with the Facilities and Administration Team
- Update and validate expense trackers before submitting to senior management
- Monitor proper allocation and timely distribution of office supplies
- Avoid unnecessary overtime and wastage by optimizing resource utilization
- Assist senior management in preparing documents for request for payment and purchase request forms
- Source and coordinate with vendors for cost-benefit analysis and cost comparison for pantry, housekeeping, and office supplies
- Perform daily site rounds to ensure adherence to facilities and administration processes and standards
- Assist with day-to-day activities assigned by senior management
- Maintain accurate asset documentation (gate pass and work permits)
- Respond promptly to emergencies and urgent issues
Qualifications:
- 3-5 years of experience in a similar role
- Vendor management experience is an advantage
- Bulk administration coordination and maintenance knowledge is a plus
- Prior experience in the BPO industry is preferred
