
Event Coordinator Specialist

This role involves coordinating events and offsite activities for our distributed workforce, working closely with the Senior Events Manager to ensure seamless execution.
The successful candidate will drive event logistics from venue sourcing to on-site support, food selection, programming, and post-event wrap-ups.
- End-to-end logistics: Coordinate event and offsite planning for gatherings of various sizes.
- Planning discipline & systems: Develop clear planning documents and keep stakeholders informed of milestones and responsibilities.
- Vendors, invoices & contracts: Manage relationships with key vendors; collect bids and negotiate within established guidelines.
- Attendee comms & travel: Serve as the primary point of contact for attendee inquiries and manage travel arrangements.
- Onsite Operations: Provide calm and organized support during events.
- Crossfunctional Collaboration: Work collaboratively with Employee Experience, People Ops, Comms, and Executive Admin teams.
- Relevant Experience: 3–5 years in events coordination, operations, or hospitality.
- Organizational Excellence: Demonstrated ability to organize and prioritize tasks effectively.
- Operational Rigor: A bias for action and achieving results.
- Exceptional Communicator: Strong written and verbal communication skills.
- Vendor, Events & Budget Fluency: Knowledge of event, vendor, and budget basics.
- Tools & AI Fluency: Proficiency with collaboration, PM, and event tools, and a willingness to adopt new tools that enhance efficiency.
