Job Overview

The Program Coordinator role plays a pivotal part in ensuring seamless administrative, data entry, and project-based task execution. Key responsibilities include:

  • Supporting the onboarding process for candidates, monitoring missing timesheets, expenses, and invoice submissions.
  • Coordinating with Associates and Managers to ensure timely approval completion by Payroll Deadline cut-off.
  • Maintaining accurate data within the VMS and/or Client Facing Systems.
  • Assisting with end-of-assignment work.
Main Responsibilities

Key duties involve:

  • Managing the general mailbox, responding promptly to hiring manager and supplier inquiries.
  • Collaborating with the Program Manager, Specialists, Hiring Managers, and Suppliers throughout all stages of requisition and contingent worker management processes.
  • Supporting Onboarding & Offboarding activities.
  • Preparing and distributing weekly/monthly dashboards and ad hoc reports for client and internal use.
  • Regularly monitoring Power BI and VMS dashboards, documenting anomalies and escalating potential issues as needed.
  • Meeting deadlines for weekly tasks and reporting assigned by your manager.

This role demands strong organizational skills, attention to detail, and excellent communication abilities. The ideal candidate will be able to prioritize tasks effectively and maintain confidentiality when handling sensitive information.

In addition to the above responsibilities, the Program Coordinator will assist the Program Specialists throughout the Candidate Onboarding Process, monitor missing timesheets, expenses, and invoice submissions, and maintain data within the VMS and/or Client Facing Systems.

Educational Requirements

A High School Diploma is required, along with 1-3 years' work experience as a recruiting assistant, staffing coordinator, or administrative assistant.

The successful candidate will also possess knowledge of VMS, HRIS, or ATS systems, as well as proficiency with technology, including Microsoft suite of products and Adobe.

This position operates in a professional office environment and requires minimal travel. The ideal candidate will be a team player with strong follow-up skills, attention to detail, and excellent communication abilities.
