Job Summary
">- The Facilities Support Specialist will provide assistance to the facilities manager with day-to-day operations, including maintenance, vendor oversight, purchasing and procurement, occupancy services, and help desk.
Key Responsibilities:
]- Client Management:
- Deliver exceptional customer service to meet client expectations.
- Purchasing & Vendor Management:
- Assist in managing vendors and contractors on site to ensure they perform to required standards (including inspection of vendors' works).
- Support the procurement process for vendors and services as needed.
- Financial Administration:
- Contribute to financial processes to ensure timely and accurate completion of all financial management requirements.
- Ensure prompt and accurate management of purchase orders in our system.
- Health & Safety:
- Regularly conduct audits to ensure safety procedures are in place and functioning effectively.
- Support carrying out safety procedures as needed.
- Site Operations:
- Support implementing best practices for site operations.
- Conduct regular site inspections and assessments to ensure all building procedures and performance measures are maintained at all times.
- Identify opportunities to reduce costs and improve operational standards.
- Maintain premises in a neat and good working condition at all times.
- Manage duplicate office keys in good order.
- Provide support for receptionist coverage from time to time.
- Offer FM support for meeting room bookings where required.
- Coordinate with pantry staff to ensure that pantry and vending machine items are always stocked.
- Risk Management:
- Support implementing and managing property risk management programs.
- Help implement and monitor disaster recovery and business continuity plans.
- Follow established escalation procedures and incident reporting procedures.
- Comply with business conduct guidelines, procedures, and strategies. Meet Key Performance Indicators and Service Level Agreement targets.
