Administrative Support Specialist

The Administrative Support Specialist will play a key role in ensuring the smooth operation of our maintenance requests. They will be responsible for coordinating all aspects of vendor and homeowner follow-up to ensure timely progress and proper resolution.

  • Job Responsibilities:
  • Work Order Follow-up with vendors, managers, and homeowners via tickets, phone, and emails.
  • Escalate work orders to senior managers for status or additional information.
  • Handle difficult conversations with homeowners or vendors and de-escalate if necessary.
  • Prioritize and review work orders in detail to correct mistakes and ensure the right steps are being taken.
  • Run work order reports.
  • Process incoming email work order updates from managers, vendors, and homeowners.
  • Assist with ongoing maintenance and updates to departmental policies/procedural manuals (SOPs), including profiles.
Requirements:
  • Essential Skills:
  • Strong verbal and written communication skills.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Basic computer skills, including proficiency in Microsoft Office.
  • Excellent organizational and time management skills.
  • High school diploma required; 3 years working in a BPO/call center setting preferred.
