Financial Operations Specialist


This is a vital role in our organization, requiring an individual to oversee the entire financial cycle of accounts payable, accounts receivable, and billing. The ideal candidate should possess exceptional attention to detail, strong analytical skills, and excellent communication abilities.


Key Responsibilities:

  • Accounts Receivable:
    • Issue timely and accurate invoices based on shipment documentation and logistics agreements.
    • Maintain aging reports and follow up on overdue payments with a thoughtful approach.
    • Reconcile discrepancies before reaching out to clients, ensuring smooth client communication.
    • Balance customer accounts and support the month-end AR closing process.
  • Accounts Payable:
    • Process vendor invoices accurately, ensuring approvals and correct postings.
    • Reconcile vendor statements and resolve discrepancies efficiently.
    • Ensure timely payments to vendors, maintain audit-ready documentation, and assist with month-end closing processes.
  • Billing:
    • Prepare and manage billing for trucking and warehousing divisions.
    • Address and resolve billing discrepancies or issues raised by clients or internal teams.
    • Ensure billing aligns with logistics-specific systems and operations.
  • Financial Administration & Process Improvement:
    • Assist in AR/AP reconciliations during monthly close.
    • Generate reports to support leadership decisions.
    • Suggest improvements to workflows for better efficiency and accuracy across financial processes.
  • Collaboration & Communication:
    • Work closely with operations, customer service, and external vendors to support invoicing and payment coordination.
    • Communicate effectively across time zones.
    • Maintain clear documentation and support continuous improvement initiatives.


Requirements:

  • 3+ years of combined Accounts Payable, Accounts Receivable, or Billing experience.
  • Strong proficiency in Excel and experience with tools like Bill.com or ERP systems.
  • Exceptional problem-solving capabilities.
  • Excellent English communication skills, both written and verbal.
  • Familiarity with logistics terminology is highly desirable.
