Job Description

The Sales Admin Coordinator will be responsible for managing the end-to-end Order Management Process. This includes checking and ensuring quotes are complete, accurate, and in accordance with customer or sales paperwork prior to creation and booking orders.

  1. Monitor order delivery lead-times in accordance with customer contract SLAs to ensure timely delivery.
  2. Elevate orders pending credit clearance for internal and external lease.
  3. Maintain cleanliness of incomplete orders.
  4. Process transfer inventory based on stock demand and proper allocation.
  5. Create mercury codes in the system to recognize stocks and items for sale.
  6. Set up and stock third-party items in inventory.
  7. Upload process in the system.
  8. Update warranty information in the system.
  9. Set up machines and create POs for non-Canon products.
  10. Ammend and cancel POs subject to prerequisites.
  11. Implement changes in Customer Terms of Payment & Customer Group.
  12. Update Customer Particulars (name, search name, UEN, status, delivery address, email, phone).
  13. Manage Credit – amend credit limits of customers.
  14. Create Debit and Credit notes.
  15. Perform rebilling with supporting documents.

Cleanse data requirements and collaborate with external and internal customers to obtain additional information.

  1. Create customer data based on submitted information approved by upper management within trade agreements.
  2. Maintain customer records.
  3. Implement amendments in customer terms of payment and customer group.
  4. Create sales orders based on order types.
  5. Raise transfer orders.
  6. Create debit notes specifically for chargeable workshops.

eShop Responsibilities:

  • Provide vendors with items, promotions, or inventory quantities for upload.
  • Oversee overall order management and reconciliation.
  • Process returns and refunds.
  • Liaise with various parties to manage customer queries.

Adhoc and Customer Service Tasks:

  • Attend customer review meetings to audit queries and recommend service enhancements.
  • Utilize reports for order status tracking and resolve related issues.
