Job Description

The Policy Compliance Specialist plays a pivotal role in ensuring the organization's readiness by maintaining current policies, systematically reviewing and fully complying with applicable standards and regulations.

Key Responsibilities:
  • Organization-Wide Policy Governance & Compliance
    • Leads the curation of all organizational policies and procedures.
    • Maintains a master library of current policies and archived versions.
    • Tracks review cycles, updates, and re-approvals for timely compliance.
    • Ensures policies reflect current practices and comply with laws, regulations, and accrediting standards.
  • Policy Development & Stakeholder Engagement
    • Drafts new policies and procedures based on leadership directives or changes in regulatory requirements.
    • Shares draft documents with stakeholders for feedback and incorporates suggested changes.
    • Coordinates with team members to ensure timely input.
    • Prepares finalized documents for approval and publication in the official policy repository.
  • Regulatory Reporting Oversight
    • Manages a comprehensive calendar of required reports for licensing, funding, and accreditation entities.
    • Cordinaates with departments to ensure timely report generation and submission.
    • Tracks submission status and ensures report accuracy and completeness.
  • Governance & Compliance Meetings
    • Schedules recurring meetings for compliance, quality assurance, performance improvement, and risk management.
    • Creates agendas, tracks attendance, documents minutes, and follows up on action items.
    • Ensures required meetings occur on schedule and are documented for audits and oversight.
  • Policy Inquiry Response & Gap Resolution
    • Provides internal guidance on existing policies and procedures.
    • Reviews policy documents to respond to staff inquiries at all levels.
    • Identifies gaps in documentation when no policy addresses an inquiry.
    • Drafts new policies or procedures based on inquiries, aligned with organizational goals and regulatory standards.
    • Facilitates full review and approval processes, including stakeholder input and final signatures.
    • Incorporates finalized documents into the official policy library and communicates to relevant staff.
Required Skills and Qualifications
  • Bachelor's degree in Healthcare Administration, Public Policy, Legal Studies, or a related field (Master's preferred).
  • 3–5 years of experience in compliance, regulatory affairs, or policy management within a healthcare or behavioral health organization.
  • Familiarity with Joint Commission, Arizona DHS, and applicable labor and healthcare regulations.
  • Strong technical writing and document control skills.
  • Ability to work independently and cross-functionally across HR, operations, and clinical teams.
  • Proficient with cloud-based document systems, Google Workspace, Microsoft Office, and project tracking platforms.
  • Experience in behavioral health or healthcare organizations with both outpatient and residential services.
  • Understanding of HR policy development and labor law compliance.
  • Comfortable holding leaders accountable for meeting participation and report contributions.
  • Ability to coordinate across departments for consistency in policy language and compliance practices.
  • Familiarity with AI tools to support drafting, formatting, and research tasks.
