Executive Assistant (Excel Specialist)

The ideal candidate will be responsible for providing high-level administrative support to the executive team and contributing to the success of our sales operations. This role requires a proactive and detail-oriented individual with advanced Excel skills, including VLOOKUP and Pivot Tables.

We are seeking a highly organized and tech-savvy Executive Assistant to manage data, generate reports, and streamline workflows. The successful candidate will have excellent verbal and written communication skills, strong organizational and time management abilities, and a problem-solving mindset.

Responsibilities include:

  • Assisting executives with calendar management, email correspondence, and meeting coordination
  • Preparing and analyzing sales reports using Excel (VLOOKUP, Pivot Tables, charts)
  • Maintaining CRM records and updating client databases
  • Supporting lead generation, follow-ups, and pipeline tracking
  • Coordinating with internal teams to ensure timely delivery of sales materials and updates
  • Drafting professional documents, proposals, and presentations
  • Handling administrative tasks such as travel arrangements, expense tracking, and file organization

Required Skills & Qualifications:

  • Bachelor's degree in Business Administration, Marketing, or related field
  • Minimum 2 years of experience in sales support, executive assistance, or administrative roles
  • Advanced proficiency in Microsoft Excel (VLOOKUP, Pivot Tables, conditional formatting)
  • Familiarity with CRM platforms (e.g., Zoho CRM, Pipedrive, Salesforce)
  • Experience with productivity tools (Google Workspace, Microsoft 365, ClickUp, Zoom)
  • Strong data entry and reporting skills
