We are seeking a highly organized and proactive professional to support an executive in the construction industry. The successful candidate will be responsible for managing calendars, coordinating travel, drafting correspondence, and handling administrative tasks with discretion.
Key Responsibilities:- Calendar & Travel Management: Oversee and coordinate a dynamic schedule, arrange appointments, and manage domestic and international travel logistics.
- Communication: Draft, proofread, and manage professional correspondence, ensuring clear and effective communication at all times.
- Project Support: Assist with project timelines, collaborate with internal team members, and prepare regular reports on project progress.
- Event Coordination: Plan and manage meetings, conferences, and company events, ensuring all logistics are handled smoothly.
- Administrative Support: Handle routine administrative tasks including expense reports, file organization, record-keeping, and other ad-hoc office duties.
- Personal Assistance: Occasionally manage personal tasks and household responsibilities for the executive, including coordinating personal appointments, errands, and family-related needs.
- 5+ years of experience as an executive assistant, preferably in the construction industry or a related field.
- Exceptional organizational and time management skills, with a proven ability to juggle multiple tasks and deadlines.
- Excellent written and verbal communication skills.
- Proficiency in Google Suite (Docs, Sheets, Calendar) and familiarity with Canva for presentation design.
- Discretion and professionalism in handling confidential information.
- Ability to work flexible hours, including evenings or weekends, as needed.
- Strong problem-solving skills and the ability to work independently.
