As a vital member of our team, we are seeking an organized and detail-oriented Coordinator to join us in coordinating appointments, managing calendars, and ensuring smooth scheduling operations.
Key Responsibilities- Calendar Management: Coordinate and maintain calendars for multiple team members or departments, ensuring seamless scheduling across various stakeholders.
- Scheduling: Schedule client meetings, internal check-ins, consultations, and follow-ups while maintaining professionalism and accuracy.
- Appointment Management: Confirm, reschedule, or cancel appointments as needed with timely updates to calendar systems.
- Software Management: Effectively manage scheduling software, ensuring prompt and error-free calendar updates.
- Team Collaboration: Collaborate with operations, HR, and leadership teams to accommodate dynamic priorities and ensure efficient scheduling processes.
- Communication: Communicate with clients and internal staff via phone, email, and instant messaging platforms, providing exceptional customer service.
We require a highly skilled individual with strong organizational abilities, excellent communication skills, and proficiency in scheduling and communication tools. The ideal candidate will possess a proactive approach, attention to detail, and the ability to work independently in a fast-paced environment.
Qualifications- Administrative Experience: Proven experience in administrative, operations, or scheduling roles supporting U.S.-based teams.
- Communication Skills: Excellent English communication skills, both verbal and written.
- Organizational Skills: Strong organizational skills with an ability to manage multiple calendars and priorities.
- Attention to Detail: High level of attention to detail and ability to work independently.
- Technical Skills: Proficiency in scheduling and communication tools (e.g., Google Calendar, Microsoft Outlook, Zoom, Slack, Calendly).
- Time Zone Flexibility: Ability to work in U.S. business hours, including some flexibility in time zones.
- Professionalism: Professionalism, discretion, and a client-focused mindset.
- Industry Experience: Experience in healthcare, law, or service-based industries is preferred.
