Job Overview

This role plays a critical part in the success of our client's immigration law firm. The ideal candidate will handle case management, client service, and administrative tasks to ensure smooth preparation and filing of immigration-related applications.

The successful candidate will be an integral member of the team, working closely with attorneys and colleagues to provide exceptional support and contribute to the growth of the organization.

  • Key Responsibilities:
  • Document Management:
    • Create and maintain digital client files, adhering to organizational standards.
    • Organize electronic document storage and ensure proper naming and maintenance of files.
    • Remove duplicates and outdated templates from client files.
  • Client Interaction & Case Management:
    • Gather, organize, and verify client documents for case preparation.
    • Communicate with clients to obtain missing information and provide updates on their cases.
    • Draft client communications, including approval and congratulatory letters.
  • Form Preparation:
    • Draft and complete government forms, questionnaires, and petitions related to immigration cases.
    • Assemble exhibit lists and ensure accuracy in document submissions.
  • System Updates:
    • Maintain and update client profiles in CRM systems and other database tools.
    • Record client communications and update case notes consistently.
  • Administrative Support:
    • Submit requests for translation and educational evaluations.
    • Coordinate with clients and team members to determine daily and weekly objectives.
  • Compliance & Organization:
    • Stay updated on immigration law developments and ensure all procedures adhere to current standards.

Requirements:

  • Must-Haves:
    • Bachelor's degree in law or a related field (or equivalent combination of education and experience in a professional setting).
    • 1-3 years of experience in a professional setting.
    • Strong attention to detail and accuracy.
    • Exceptional organizational and multitasking skills.
    • Customer-service orientation with strong interpersonal and verbal communication skills.
    • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe, and CRM tools like Salesforce.

  • Experience in immigration law.
  • Familiarity with document management software and multi-line telephone systems.
  • Ability to work well under pressure and meet strict deadlines.
