Collections Specialist Role

Join a dynamic organization as a Collections Specialist, driving end-to-end collections efforts for service and installation invoices.

About the Position

This hands-on, call-heavy role involves collecting outstanding invoices while providing top-notch customer service and spotting upsell opportunities. You will operate independently, developing and executing a collections strategy, and presenting performance insights to senior leadership.

You will be responsible for:

  • Call Execution:
    • Making 50+ outbound calls/day via RingCentral, maintaining high right-party contact and promise-to-pay conversion rates.
    • Negotiating payments, payment plans, and settlements, securing same-day collections when possible.
    • Handling objections and resolving disputes (short-pays, missing POs, warranty/return questions, service quality issues).
  • Collections Strategy & Ownership:
    • Owning the A/R aging pipeline, prioritizing accounts, and driving a disciplined dunning cadence.
    • Escalating appropriately (credit holds, lien/notice options where applicable, small-claims recommendations).
    • Building weekly/monthly plans to hit cash targets and reduce Days Sales Outstanding (DSO), presenting strategy and results to senior leadership.
  • Customer Service & Upsell:
    • Providing friendly, solutions-oriented service, identifying and closing or handing off simple upsells (maintenance agreements, filter replacements, service plans) without distracting from collection goals.
  • Cross-Functional Coordination:
    • Partnering with Dispatch/Service, Install, and Accounting to resolve ticket discrepancies, missing work orders, and billing errors.
    • Documenting every interaction with precise call dispositions, notes, and next actions.
  • Reporting & Compliance:
    • Producing concise daily/weekly dashboards and a monthly summary of cash collected vs target, PT P conversion, aging movement, and root causes.
    • FOLLOWING applicable laws and company policies (e.g., consent/TCPA considerations, state collection rules for any consumer accounts).
    Success Metrics (KPIs)
    • Primary KPI: Monthly Cash Collections vs Target (hit or exceed target consistently).
    • Supporting indicators:
      • 50+ calls/day with strong talk time and RPC rate
      • PTP conversion and PTP kept rates
      • Aging reduction (60+/90+ buckets) & DSO improvement
      • Dispute cycle time (opened → resolved)
      • Call quality and documentation completeness
