The role of a Private Pay Coordinator is multifaceted and plays a pivotal part in managing patient/client accounts for private pay services. One of their key responsibilities is to maintain open communication with patients regarding claim rejections, ensuring that the service meets its obligations.

Key Responsibilities:
  • Coordinates with patients for reorder requests and schedules shipping dates.
  • Verifies patient contact information, including address and phone numbers.
  • Documents and tracks shipping dates.
  • Notifies families of claim rejections and facilitates resolution.
  • Collaborates with field staff on patient/physician issues.
  • Faxes refill requests to physicians' offices.
  • Notifies physicians' offices of non-compliant patients.
  • Makes necessary collection calls.
  • Reviews discharged accounts for credits/outstanding balances.
  • Contacts families with credit balances, verifies information, and initiates refund processes.
  • Handles calls related to billing issues for reorder prescriptions.
  • Closes out files on discontinued patients, including notifying relevant parties.
Requirements:
  • Requires strong verbal and written communication skills.
  • Must possess knowledge in basic office operations and be able to perform multiple tasks efficiently.
  • Must work effectively under pressure, prioritize tasks during peak workload, and maintain productivity.
  • Must represent the organization professionally and adhere to established standards.
  • Must maintain confidentiality and adhere to HIPAA regulations, understanding the importance of Privacy Rule compliance.
  • Able to perform duties without posing a direct threat to health or safety.

Education/Experience:
High School graduate or equivalent; one year experience in a similar position preferred.
