
Patient Account Administrator

The Private Pay Coordinator is the employee responsible for managing patients' accounts for all private pay orders. This role involves contacting patients regarding claim rejections, discontinuing services when necessary, and assisting with collections. The coordinator works closely with the Patient Care Supervisor/Operations Manager to ensure customer satisfaction and contributes greatly to the overall success of the organization.
Key Responsibilities:
- Calls private pay patients to confirm reorder requests and sets up ship dates.
- Verifies patients' addresses and phone numbers.
- Documents ship dates.
- Contacts family members regarding claim rejections.
- Works with field staff on patient/doctor issues.
- Faxes refill requests to doctors' offices.
- Notifies doctors' offices of non-compliant patients.
- Makes collection phone calls as necessary.
- Verifies Major Medical benefits annually and as needed.
- Reviews discharged accounts for possible credits or outstanding balances.
- Contacts families about credit balances, verifies addresses, and initiates refund processes.
- Takes calls regarding billing issues for reorder prescriptions.
- Disconnects files on discontinued patients, including notifying MDs and drug companies (when necessary).
Requirements:
- Strong verbal and written communication skills are essential.
- The candidate must be knowledgeable in basic office operations and able to perform multiple tasks simultaneously.
- The ability to work under pressure, prioritize tasks during heavy workloads, and represent the organization professionally is crucial.
- Must maintain HIPAA compliance in accordance with the company's Employee Manual and HIPAA manual and understand their obligations under the Privacy Rule.
- Able to perform the essential duties of this position without posing a direct threat to health or safety.
Education/Experience:
- High school graduate or equivalent.
- One year of experience in a similar position is preferred.
