Clinical Outreach and Site Activation Manager

We are seeking a highly skilled Clinical Outreach and Site Activation Manager to own and run our site outreach campaigns.

  • Design and execute doctor outreach campaigns for clinical trial site activation, leveraging expertise in healthcare and clinical research.
  • Research and filter doctors using tools like Google, NPI Registry, and Definitive Healthcare, applying clinical judgment and U.S. standard of care research to identify specialists.
  • Build targeting frameworks using CPT, ICD-10, and claims logic, ensuring quality, specialty match, and targeting precision.
  • Develop SOPs and research playbooks to standardize repeatable outreach, streamlining processes and improving execution systems.
  • Write and iterate outreach emails to drive replies, utilizing persuasive communication skills and attention to detail.
  • Manage outreach coordinators, assign work, check quality, and coach improvement, fostering a culture of continuous learning and growth.
  • Run email sequences in Mixmax or similar tools, tracking performance and making data-driven decisions to optimize outreach strategies.
  • Triage replies and hand off to the PM or Medical Director for qualification, prioritizing timely follow-up and effective issue resolution.
Requirements:
  • High-context outreach campaigner with experience in healthcare, clinical research, or healthtech, possessing a deep understanding of how doctors work and their referral patterns.
  • Expertise in building playbooks, workflows, and logic trees, with a focus on systems-driven solutions and automation.
  • Ability to manage junior staff, provide coaching, and get the best out of team members, promoting a positive and productive work environment.
  • Excellent written communication skills and ability to write compelling outreach copy, capturing the reader's attention and driving action.
  • Proficiency in Airtable, Mixmax, ChatGPT, Google Sheets, and lightweight CRMs, with a willingness to learn new tools and technologies.
