Job Title: Administrative Support Specialist

This role involves providing high-level administrative support to our team. The ideal candidate will be responsible for managing calendars, scheduling meetings, and ensuring smooth day-to-day operations.

  • Manage and update daily schedules
  • Utilize task tracking and project management software
  • Assist with reviewing and managing contracts and documentation
  • Organize and review receipts and track purchases and expenses
  • Maintain and manage travel logs, including travel arrangements and documentation
  • Screen record all meetings and use transcription tools for notes
  • Conduct regular file reviews to ensure all records are complete and organized
  • Handle email management, including sorting, prioritizing, and responding to messages on behalf of the team

Excellent organizational skills, attention to detail, and proficiency with administrative software and tools are required for this role.

Requirements
  • Proven experience as an Administrative Assistant or in a similar role
  • Proficiency with task management tools, calendar management, and email platforms
  • Strong attention to detail and organizational skills
  • Excellent communication skills and the ability to manage multiple tasks effectively
  • Familiarity with transcription tools and screen recording software is preferred
  • Ability to work within standard business hours (EST)
