Administrative Support Specialist

We are seeking a highly organized and adaptable Administrative Support Specialist to join our team of dedicated professionals.

The ideal candidate will be responsible for managing client information, handling email communication, drafting scopes of work and client documentation, and implementing task management software.

  • Key Responsibilities:
  • - Manage client data in our CRM system.
  • - Handle email correspondence, including drafting follow-ups and scheduling calls.
  • - Assist in preparing project briefs and client documentation.
  • - Implement task management tools, such as Asana, including importing templates and organizing tasks.
  • Client Communication:
  • - Respond to client inquiries related to tax preparation services and facilitate next steps.
  • - Transfer leads to relevant team members for further nurturing and follow-up.
  • - Provide exceptional customer service, ensuring all interactions are professional and courteous.
  • Social Media Management:
  • - Post content on social media platforms using pre-designed templates.
  • - Respond to messages and comments in a timely and accurate manner.
  • Project Implementation:
  • - Complete training courses for project management software and implement processes accordingly.
  • - Organize internal operations and create streamlined workflows for recurring tasks.

The ideal candidate should possess the following skills and qualifications:

  • - Fluent English language skills.
  • - 5+ years experience in administrative roles, preferably in a virtual or remote capacity.
  • - 1+ years experience in bookkeeping or accounting, or a strong interest in learning.
  • - Familiarity with tools like Asana, Keeper, and TaxDome (training will be provided).
  • - Strong organizational and multitasking abilities, attention to detail, excellent communication and interpersonal skills.
  • - Ability to manage multiple tasks effectively and work independently with minimal supervision.
