Key Role: Office Coordinator

The primary function of this role is to manage and coordinate tasks related to vendor and homeowner follow-up, ensuring timely progress on maintenance requests. This involves interacting with a ticketing system, making phone calls to vendors when necessary, and handling challenging conversations with homeowners or vendors.

Responsibilities:
  • Work Order Coordination: Collaborate with vendors, managers, and homeowners through tickets, phone calls, and emails to ensure timely resolution of work orders.
  • Escalation Procedures: Escalate work orders to senior managers for status updates or additional information as needed.
  • Conflict Resolution: Handle difficult conversations with homeowners or vendors and de-escalate situations as required.
  • Task Prioritization: Prioritize and review work orders in detail to identify mistakes and ensure the right steps are being taken.
  • Performance Tracking: Run work order reports to track progress and identify areas for improvement.
  • Email Management: Process incoming email updates from managers, vendors, and homeowners regarding work orders.
  • Ongoing Support: Assist with maintaining and updating department policies/procedural manuals (SOPs), including profiles.
  • Special Projects: Undertake special projects assigned by the Department Manager.
Essential Qualifications:
  • Strong Communication Skills: Possess excellent verbal and written communication skills to effectively interact with vendors, managers, and homeowners.
  • Remote Work Experience: Have prior experience working remotely and utilizing technology to stay connected with team members and clients.
  • Technical Requirements: Meet specific technical specifications, including operating systems, CPU, RAM, hard drive space, and internet speed.
