Job Title: Virtual Legal Assistant

We are seeking a highly organized and detail-oriented professional to provide administrative and client communication support within a criminal defense and litigation practice.

  • Call clients before court appearances to gather updates and provide reminders, ensuring seamless case management.
  • Act as the main communication bridge between attorneys and clients, providing clear and timely updates via phone calls, emails, or messaging platforms.
  • Draft and distribute client letters; maintain regular client touchpoints to foster strong relationships.
  • Explain case processes and legal updates in an easy-to-understand manner, making complex information accessible to clients.
  • Utilize AI transcription tools for call documentation and case updates, streamlining workflow efficiency.
  • Manage appointments, calendars, and court dates to ensure deadlines are met, guaranteeing punctuality and reliability.
  • Update and manage client records using Practice Panther, maintaining accurate and up-to-date information.
  • Follow up on billing, retainer fees, and accounts receivable with clients, ensuring timely payments and financial stability.
  • Handle conflict notifications and ensure accurate records of court appearances, resolving disputes efficiently.
Required Skills and Qualifications
  1. Prior experience as a legal assistant, paralegal, or administrative professional in a law firm is preferred, demonstrating relevant skills and expertise.
  2. Strong verbal and written English communication skills are essential for effective client communication and record-keeping.
  3. Proficiency with phone systems, including RingCentral, enables seamless communication with clients and colleagues.
  4. Ability to manage calendars, court dates, and appointments with accuracy ensures timely and efficient case management.
  5. Comfortable using client management systems, such as Practice Panther, to maintain accurate and up-to-date client records.
  6. Strong organizational skills, attention to detail, and ability to multitask guarantee seamless workflow execution.
  7. Professional, empathetic, and able to handle sensitive client interactions, fostering trust and rapport with clients.
  8. Self-starter with the ability to work independently and remotely, adapting to changing circumstances and priorities.
