Job Summary

We are seeking an experienced and detail-oriented Billing Specialist to manage our invoicing and payment processes. This role is critical in ensuring accurate and timely billing, payment collection, and financial reporting.

Key Responsibilities
  • Manage billing processes for multiple accounts, ensuring all services provided are correctly billed and payments are received.
  • Take full responsibility for the entire invoicing process, from initiation to completion. Obtain and verify log sheets from clients to ensure accurate and detailed billing.
  • Collaborate directly with clients to facilitate payment processes, including charging credit cards and resolving payment issues. Track all payments and ensure each invoice is paid in a timely manner.
  • Review aging accounts on a weekly basis to identify overdue payments and unpaid invoices. Follow up with clients or facilities to resolve outstanding balances promptly.
  • Submit a comprehensive weekly report to management summarizing billing activities, outstanding accounts, and resolved issues.
  • Input all relevant billing and payment data into a project management software to maintain accurate and up-to-date records.
  • Oversee the billing aspect of services rendered, ensuring that all services are properly paid for and accounted for in compliance with company standards.
Requirements
  • 1-3 years billing or invoicing experience.
  • Proven experience in billing, invoicing, or accounts receivable roles.
  • Strong organizational skills and attention to detail.
  • Proficiency in financial software and tools, such as QuickBooks.
  • Excellent communication and interpersonal skills for client collaboration.
  • Ability to manage multiple accounts and prioritize tasks effectively.
  • Strong problem-solving skills and ability to work independently.
  • Experience in a similar industry or service-based environment.
  • Familiarity with payment processing systems and financial reporting.
  • Analytical skills to monitor and report on account trends and issues.
