Administrative Business Partner Specialist

We are seeking a skilled and experienced Administrative Business Partner to join our team. As an ABP, you will play a critical role in supporting our executives and teams with administrative tasks, ensuring seamless operations and effective communication.

Responsibilities
  • Executive Partnership:
    • Calendar Management: Independently schedule, maintain, and update calendar events to ensure efficient meetings and appointments.
    • Expense Management: Execute expense reports and communicate policies to team members.
    • Travel Coordination: Complete travel booking and logistics tasks according to company policies and preferences.
    • Program Management: Plan and organize internal events, including budget management and logistics.
  • Onsite Office Partnership:
    • Vendor Contract Management: Create, review, and monitor vendor contracts with limited support.
    • Payment Processing: Handle vendor payments according to company policies and practices.
    • Logistics and Support: Engage proactively in planning processes to resolve administrative and logistical challenges for site events and meetings.
    • Swag Distribution: Own the process of ordering and distributing swag items aligned with internal teams' requirements.
  • Administrative Business Partner (ABP) Community Partnership:
    • Organizational Alignment: Work proactively with GOC's ABP community to align on effectiveness and collaboration.
    • Best Practice Sharing: Continuously learn and communicate best practices related to systems and ways of operating.
    • Business Continuity: Provide support to other executives and sites as needed to ensure business continuity support.
Qualifications
  1. Bachelor's Degree or Equivalent Practical Experience: A degree in a relevant field or significant work experience in executive support, administrative operations management, or non-technical project management.
  2. Administrative Experience: 4-8 years of direct experience managing core administrative tasks such as travel management, expense reports, calendar management, facilities coordination, event planning, etc.
  3. Collaboration and Communication Skills: Excellent ability to work effectively with teammates across various organizational levels and locations.
  4. Organizational Skills: Exemplary ability to drive impact in a fast-paced, cross-functional environment.
