Job Description
We are seeking a highly organized and detail-oriented Support Operations Specialist to join our team. As a key member of our operations department, you will be responsible for providing comprehensive administrative support to our executive team, including managing calendars, scheduling meetings, and handling correspondence. You will also utilize QuickBooks to manage financial records, process invoices, and assist with basic accounting tasks. In addition, you will assist in planning and coordinating construction projects, ensuring timelines and budgets are adhered to. This role requires exceptional organizational and time-management skills, strong problem-solving abilities, and attention to detail. If you have a strong background in QuickBooks and basic accounting principles, along with excellent communication and interpersonal skills, we encourage you to apply.

Key Responsibilities:

• Provide comprehensive administrative support to the executive team, including managing calendars, scheduling meetings, and handling correspondence.
• Utilize QuickBooks to manage financial records, process invoices, and assist with basic accounting tasks.
• Assist in planning and coordinating construction projects, ensuring timelines and budgets are adhered to.
• Maintain and organize company documents, contracts, and records.
• Serve as a point of contact between executives, clients, and subcontractors, ensuring clear and timely communication.
• Address and resolve any issues that arise in the daily operations of the company.

Requirements:

• Proven experience as an Executive Assistant or in a similar administrative role.
• Proficiency in QuickBooks and a solid understanding of basic accounting principles.
• Exceptional organizational and time-management skills.
• Strong problem-solving abilities and attention to detail.
• Excellent communication and interpersonal skills.
• Ability to multitask and prioritize tasks effectively.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
