Job Title: Bid Estimator Coordinator

About the Role

We are seeking a highly organized and proactive professional to support our HVAC and Plumbing estimating teams. This fully remote position plays a vital role in coordinating all aspects of the bid process—ensuring that proposals are complete, accurate, and submitted on time.

The ideal candidate is detail-oriented, a strong communicator, and highly proficient in Microsoft Excel. Construction or engineering experience is preferred but not required.

Key Responsibilities:
  • Bid Package Management: Oversee the creation and submission of bid packages, ensuring timely and accurate delivery.
  • Coordinate and track bid proposals: Manage the bid process from initiation to submission, maintaining open communication with team members and stakeholders.
  • Ensure estimate packages are complete: Verify that all necessary components, including vendor quotes, subcontractor bids, takeoffs, specifications, and scope clarifications, are included in each estimate package.
  • Organize files for executive review: Maintain a well-structured filing system, ensuring easy access to essential documents and information.
  • Solicit and track supplier and subcontractor pricing: Communicate effectively with suppliers and subcontractors to obtain competitive pricing and ensure timely delivery of materials and services.
  • Maintain a bid contact database: Develop and update a comprehensive database of key partners and contacts, facilitating seamless communication and collaboration throughout the bid process.
  • Document and save quotes: Ensure that all quotes are properly documented and saved for future reference.
  • Collaborate with estimators: Work closely with HVAC and Plumbing estimators to ensure alignment on bid deadlines and scheduling.
  • Assist with software tracking and document management: Provide support with Pinnacle software tracking and document management, ensuring accuracy and efficiency throughout the bid process.
  • Generate summary reports and maintain a bid calendar: Compile and analyze data to produce detailed summary reports and maintain an up-to-date bid calendar, facilitating informed decision-making and effective planning.
Requirements and Qualifications:
  • Proficiency in Microsoft Excel: Strong proficiency in Microsoft Excel is essential for this role, with a focus on advanced features such as pivot tables, lookups, and formatting.
  • Detail-oriented and organized: The ability to manage multiple tasks and prioritize responsibilities is crucial for success in this role.
  • Excellent written and verbal communication skills: Strong communication skills are necessary for effective collaboration and stakeholder engagement.
  • Prior remote work experience: A proven ability to self-manage in a virtual setting is essential for this fully remote position.
Preferred Qualifications:
  • Experience in construction or engineering: While not required, experience in the construction or engineering industries is highly valued and may be beneficial in securing this role.
  • Familiarity with estimating tools: Familiarity with estimating tools such as Pinnacle, PlanSwift, and Bluebeam is a plus.
  • Prior experience in supporting estimating teams: Experience supporting estimating teams or working in project management, construction administration, or related fields is desirable.
