Job Title: Accounts Payable Specialist

Key Responsibilities:

  • Manage vendor payments and oversee accounts payable process.
  • Enter and process vendor invoices in accounting software, ensuring accuracy and compliance.
  • Reconcile vendor statements and resolve payment discrepancies.
  • Collect and maintain W9 forms for all new vendors.
  • Ensure vendor information is complete, up-to-date, and compliant with IRS regulations.
  • Prepare and submit sales tax filings for all applicable states on a timely basis.
  • Maintain accurate records of sales tax obligations and payments.
  • Coordinate with external advisors or internal stakeholders to stay up to date on tax requirements.
  • Support general ledger clean-up or reconciliation tasks, assist in month-end close process, reporting, or audits as needed.
Requirements:
  • At least 3 years of experience in Accounts Payable or general accounting.
  • Familiarity with Bill Pay platforms and accounting software.
  • Solid understanding of W9 compliance and U.S. sales tax reporting.
  • Proficient in Microsoft Excel or Google Sheets.
  • Excellent attention to detail and organizational skills.
  • Ability to handle confidential information with discretion.
  • Strong communication skills and ability to work independently in a remote environment.
