Job Title: Administrative Services OfficerJob Description

The role of the Administrative Services Officer is multifaceted and dynamic, requiring a high level of organization, technical expertise, and interpersonal skills. The incumbent will be responsible for providing administrative support to the Admin Assistant Manager in ensuring efficient and effective asset management.

Key responsibilities include:

  • Ensuring that all fixed assets of the company are well-accounted for and properly tagged;
  • Formulating and implementing policies and procedures for the acquisition, maintenance, and disposal of fixed assets;
  • Collaborating with Finance and Accounting, and Procurement Department to ensure proper capitalization and depreciation of fixed assets;
  • Managing the travel requirements of PHC employees traveling by plane;
  • Ensuring efficient scheduling of function rooms for meetings, seminars, and other company events;
  • Monitoring and analyzing the utilization of supplies and recommending strategies for optimizing office asset efficiency;
  • Maintaining the cleanliness and professional appearance of the PHC premises;
  • Ensuring efficient scheduling and dispatch of the messenger and driver based on their schedules;
  • Ensuring that all service vehicles are compliant with insurance requirements, licensing, and registration at the Land Transportation Office;
  • Monitors the condition of service vehicles by conducting regular inspections on its tires, brakes, lights, and engine parts to ensure the safety of the employee-passengers;
Required Skills and Qualifications

To be successful in this role, the ideal candidate will possess the following skills and qualifications:

  • A college/bachelor's degree in Office Administration or any business-related course from a reputable college or university;
  • Minimum of five (5) years of experience in Office Administration, Fixed-Asset Management, and Records Management;
  • Comprehensive knowledge of the following:
    • Fixed Asset Management;
    • Scheduling;
    • Inventory Management;
    • Records Management; and
    • Service Vehicle Management;
  • Good oral and written communication skills;
  • Strong analytical and critical thinking skills;
  • Strong organization and records management skills;
  • Sound decision-making skills;
  • Good negotiation skills;
  • Good customer service skills;
  • Meticulous and detail-oriented;
  • Ability to remain focused and organized;
  • Sense of urgency;
  • Strong work ethic; and
  • Ability to handle confidential matters.
