Job Title

A Virtual Executive Assistant is a highly organized and detail-oriented professional who provides administrative support to senior-level managers. They are responsible for managing calendars, making travel arrangements, preparing expense reports, performing planning, logistics, and operations work, providing comprehensive administrative support, coordinating individual and group travel, and handling confidential and sensitive information with discretion.

Key Responsibilities
  • Calendar management: Manage and maintain senior-level executives' schedules, ensuring timely updates and efficient use of their time.
  • Travel arrangements: Arrange domestic and international travel for executives, including flights, hotels, and car rentals.
  • Expense reports: Prepare and submit accurate expense reports in a timely manner, adhering to company policies.
  • Planning and logistics: Assist with planning and executing events, meetings, and conferences, ensuring seamless execution.
  • Administrative support: Provide comprehensive administrative support, including email management, data entry, and document preparation.
  • Confidentiality: Handle confidential and sensitive information with discretion, maintaining the trust and confidence of executives.
Requirements
  • Experience: Proven experience as an Executive Assistant or Personal Assistant, preferably within a Business Process Outsourcing (BPO) environment.
  • Linguistic skills: Excellent command of English, both written and verbal.
  • Judgment: Excellent judgment when handling confidential information, exercising discretion and professionalism at all times.
  • Office management systems: Knowledge of office management systems and procedures, including MS Office (Excel and PowerPoint).
  • Time management: Excellent time management skills, prioritizing tasks efficiently and effectively.
  • Attention to detail: Strong attention to detail, ensuring accuracy and precision in all aspects of the job.
  • Problem-solving: Effective problem-solving skills, resolving issues promptly and professionally.
  • Communication: Excellent written and verbal communication skills, interacting with executives, colleagues, and clients seamlessly.
  • Organization: Strong organizational skills, multitasking with ease, and meeting deadlines consistently.
