Virtual Assistant Opportunity

We are seeking a proactive and organized Virtual Assistant to support our Environmental Monitoring team in day-to-day administrative tasks. Ad hoc administrative support will also be required across other teams.

This role is ideal for someone who can work independently with minimal supervision and has strong organizational and time management skills.

Key Responsibilities:
  • Utilize Podio.com, a web-based platform that organizes and connects our projects, CRM, and other processes
Reporting:
  • Prepare and format reports, presentations, and proposals for the team utilizing GSuite platform, Google Docs, Google Drive
Data Entry and Management:
  • Add new leads, contacts, or projects
  • Update existing fields
  • Tag and categorize entries
  • Import/export data
Task & Project Management:
  • Assign and track tasks i.e. set deadlines, priorities, and reminders
  • Notify relevant team members of overdue items
  • Generate project reports i.e. weekly summaries or milestone reviews
  • Organize and maintain shared documents and digital filing systems
  • Provide general administrative support to environmental consultants and field teams
Requirements:
  • Proven experience as a virtual assistant or in a relevant administrative role
  • Experience supporting remote teams
  • Strong written and verbal communication skills
  • High level of proficiency with office software (Google Workspace, Microsoft Office, etc.)
  • Basic knowledge of data entry and database management
  • Ability to work independently with minimal supervision
  • Strong organizational and time management skills
  • Comfortable working across multiple teams or departments
