Job Overview

The Property Management Assistant role is a critical component of our team's success in managing a diverse portfolio of properties.

This position plays a vital part in supporting our operations, ensuring seamless day-to-day management and maximizing property value.

Main Responsibilities:
  • Property Management:
    • Assist with various property management tasks such as lease administration, rent collection, and eviction processes
    • Maintain accurate property records, including lease agreements, maintenance records, and tenant information
    • Coordinate property inspections and maintenance work orders to ensure optimal property condition
  • Data Entry:
    • Enter and update property and tenant information into our property management software (Buildium)
    • Process rental payments and other financial transactions in QuickBooks
    • Maintain up-to-date records in ClickUp
  • Tenant Communication:
    • Respond promptly and professionally to tenant inquiries and concerns
    • Handle tenant move-ins and move-outs, including conducting thorough walkthroughs and processing security deposits
    • Enforce lease terms and resolve any tenant issues in a fair and timely manner
  • Vendor Coordination:
    • Coordinate with vendors for maintenance and repair services, including scheduling appointments and approving invoices
    • Negotiate contracts and pricing with vendors to ensure the best value
    • Monitor vendor performance and address any issues that may arise
    Key Requirements:
    • Strong organizational and time management skills to prioritize tasks effectively
    • Excellent attention to detail and accuracy to maintain precise property records
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) to manage documents and data
    • Experience with property management software (Buildium) is an asset
    • Ability to work independently and collaboratively as part of a team
    • Exceptional written and verbal communication skills to interact with tenants and vendors
    • Strong problem-solving and decision-making abilities to resolve complex issues
