
Administrative Specialist

This role is focused on providing administrative and operational support to a legal team.
The primary responsibilities include:
- Certification Management: Ensure the timely filing of brokerage license applications and renewals across multiple states, maintaining accuracy and compliance with all regulatory requirements.
- Broker Support: Assist real-time operational needs of brokers across U.S.-based jurisdictions, including managing broker-of-record documentation and license renewals.
- Research Assistance: Conduct research using federal and state laws, regulations, and case law to support internal decision-making.
- Document Preparation: Prepare corporate governance documentation, including state registrations, annual reports, and other filings necessary for maintaining good standing in applicable states.
You will also be responsible for coordinating and filing permits, registrations, and obligations with state and local regulators and agencies. Additionally, you will maintain and update trackers and systems related to contract status, filings, license renewals, and ongoing compliance matters.
To succeed in this role, strong organizational skills, attention to detail, and excellent communication skills are required.

Requirements- Legal education or background, or equivalent experience in a related field
- Familiarity with legal terminology and concepts, especially related to U.S. real estate brokerage and licensing
- Proven ability to file accurate and timely documents
- Experience in managing support functions and documentation across U.S. jurisdictions
