Virtual Assistant Job Description

We are seeking a highly organized, proactive, and tech-savvy Virtual Assistant to support a fast-growing business. This role is ideal for someone with excellent communication skills and experience in customer service, scheduling, administration, and light marketing tasks.

  • This part-time (25 hours/week) position offers flexible working hours from anywhere in Australia.
  • The successful candidate will play a key role in streamlining daily operations, enabling the business owner to focus on growth and team management.
Job Responsibilities:
  1. Handle 15–20 inbound and outbound calls daily from new and existing clients.
  2. Respond to email and text inquiries, including follow-ups and accounts receivable reminders.
  3. Schedule jobs and assign them to the appropriate field staff using ServiceMate.
  4. Manage CRM and lead pipeline through Podium.
  5. Update job statuses and customer information in ServiceMate.
  6. Upload invoices to Xero (no reconciliation required).
  7. Create and post 2–3 weekly updates on social media platforms.
  8. Promote and leverage the business's online reputation.
  9. Manage client calendars and appointments.
  10. Handle light reporting and follow-up tasks as needed.
  11. Liaise with training providers and track apprentice progress.
Requirements:
  • Excellent English communication skills.
  • Previous experience handling inbound/outbound customer calls.
  • Strong organizational and multitasking abilities.
  • Comfortable learning and using modern software tools.
  • Tech-savvy with a good grasp of modern software tools.
  • Experience in social media content management.
  • Comfortable working independently and proactively.
  • Familiarity with CRM and job management software (training provided).
