Remote Property Management Assistant

Support daily operations of a growing property management company by working closely with the property manager to handle resident communication, vendor coordination, and inspection scheduling across multiple buildings.

Key Responsibilities:
  • Communicate with residents via phone calls regarding payment collection and fee follow-ups.
  • Send bulk email notifications to residents on payments and updates.
  • Track payment status and collection activity using spreadsheets.
  • Schedule inspections with certified service companies.
  • Manage vendor proposals and certifications.
  • Oversee multiple ongoing projects across properties ensuring timely completion.
  • Provide administrative support to the property manager as needed.
  • Generate reports on completed tasks and ongoing projects for regular check-ins.
Requirements:
  • Administrative experience in real estate, property management, or customer service (2–3 years).
  • Excellent communication skills, particularly for payment-related calls.
  • Proficiency in spreadsheet software and email management tools.
  • Ability to manage multiple projects with organization and attention to detail.
  • Experience coordinating with vendors and managing schedules.
  • Familiarity with VoIP tools like Zoom Phone, RingCentral, or Google Voice.
  • Highly organized and capable of meeting deadlines independently.
  • Professional and reliable communication with residents, vendors, and team members.
